一 便函或備忘錄(Informal Letters or Memos)
便函和備忘錄通常用于公司內部傳遞信息,將實情、信息、觀察資料等進行傳閱。便函和備忘錄包括如下固定格式:
Date:(日期,如 September 12, 2001) To:(收文人,如 All Faculty) From:(發文人,如 Jim B. Hardemann) Subject:(事由,如 Faculty Meeting) 寫作特點:
在 date,to,from,subject 字樣后填上相應的內容。
在上述字樣下面空兩行寫正文。
不用稱呼和結尾禮詞。
發文人的姓名首字母寫在與正文末行空一行的地方。

事務信函概述 不同的事務信函要達到的目的各不相同,例如求職信、拒聘信、
詢問信、投訴信等等。事務信函書寫的好壞關系到事務洽談的成敗。因此,寫事務信函時,要具有高超的駕馭語言的能力,按固定格式寫。
事務信函的格式由八個部分構成:
發信人公司名稱和地址(信頭);收信人公司名稱和地址(信內地址);稱呼;信體;結束語;落款;發文編號;附言. ● 信頭包括發信人所在單位的名稱、地址、郵政編碼、電話、電傳、電子郵件信箱及發信日期,寫在信紙的右上方。
● 信內地址包括收信人所在單位的名稱或收信人的地址,必須同左邊的空白處取齊,與信頭間隔二行至四行的距離為佳。
● 書信開頭客氣稱呼的方式取決于寫信人與收信人之間的關系。規范的稱呼通常是:Dear Sir, Dear Madam, Dear Mr. Smith, Dear Miss Green, Dear Mrs. Brown, Dear Ms. Jane,Gentlemen。
● 信的主體可由一段或多段組成,全從左邊空白處寫起或縮行二個字母至四個字母的距離。
● 常用的書信結尾有:Yours truly, Yours sincerely, Yours cordially, Yours respectfully。
